Sharekhan to reimburse staff for COVID-19 vaccination expenses

Dear Sheru,

We are pleased to inform you that all active staff of Sharekhan, including those on roll, expats, retainers and third-party staff on Quess Corp and Randstad India Pvt Ltd, who have got vaccinated against COVID-19 privately by paying for the vaccine from their pocket are eligible for reimbursement of their expenses. What’s more, they can also apply for reimbursement of the expenses incurred by them on account of the vaccination of their spouse, parents and children above 18 years of age (up to three dependents). The reimbursements can be obtained after submitting relevant documents via e-mail. To help you with the process of the reimbursement, we have answered all possible questions that you may have on the subject. Answers to all frequently asked questions on the COVID-19 reimbursement process

Who can apply for reimbursement of the COVID-19 vaccine expenses?
The following staff can apply for reimbursement of their COVID-19 vaccination expenses:
  • All active staff of Sharekhan, including those on roll, expats, retainers and third-party staff on Quess Corp and Randstad India Pvt Ltd, who have got vaccinated against COVID-19 privately by paying for the vaccine from their pocket
  • All staff who got vaccinated privately and have resigned since but had submitted the documents prior to their resignation
  • All staff who got vaccinated privately and are serving a notice period
Can I apply for reimbursement of the expenses incurred for our family?
Sure, you can claim reimbursement for the COVID-19 vaccination expenses incurred for your spouse, parents and children above 18 years of age (up to three dependents).
I participated in the COVID-19 Vaccination Drive organised by Sharekhan, am I eligible for reimbursement?
No, you are not. The company has already paid for your vaccine. Only those active staff who obtained the vaccine on their own are eligible for a reimbursement.
What is the process of claiming reimbursement for COVID-19 vaccination expenses?
You will be happy to know that the entire process of claiming reimbursement for your COVID-19 vaccination expenses is virtual and very easy. We have explained the two-step process below.

Step 1
Fill the attached MS Excel sheet with all relevant details mentioned in it.

Step 2
Attach to an e-mail a scanned copy of the following documents along with the MS Excel file that you have filled and send it to us at reimbursement@sharekhan.com:
  • Receipt for dose 1
  • Receipt for dose 2
  • Vaccination certificate for dose 1 and dose 2
  • Fully Vaccinated certificate, if any
What documents need I submit to obtain reimbursement for my COVID-19 vaccination expenses?
You need to submit a virtual copy of the following documents in order to claim reimbursement for your COVID-19 vaccination expenses:
  • Receipt for dose 1
  • Receipt for dose 2
  • Vaccination certificate for dose 1
  • Fully Vaccinated certificate, if any
Is there a last date for claiming reimbursement for my COVID-19 vaccination expenses?
The reimbursement process is valid till March 31, 2022. The Human Resource (HR) team will collate reimbursement claims on a monthly basis till then and the staff who have submitted claims before 20th of a month will be reimbursed in the same month along with his salary. All claims submitted after the 20th of a month will be processed and paid along with the following month’s salary.
How do I submit the requisite documents for claiming a reimbursement?
You need to e-mail scanned copies of the supporting documents along with the duly filled MS Excel claim form at reimbursement@sharekhan.com.
Are there any staff who are not eligible for reimbursement of their COVID-19 vaccination expenses?
Yes, reimbursement is not possible in the following cases:
  • If the staff has exited the organisation before claiming the reimbursement
  • If the staff received the vaccine prior to joining Sharkehan
  • If the staff has not submitted all relevant supporting documents
